Who we are
PropaneIQ ("we," "us") provides field safety and operations software for propane companies. This policy describes how we collect, use, and protect information when you use propaneiq.app and its related applications (the "Service").
Information we collect
- Account information — name, email address, phone number, company name, and role, provided when you or your company creates an account.
- Operational records — the safety inspections, leak tests, tank records, delivery logs, service orders, photographs, and digital signatures your company creates in the course of using the Service.
- Customer records — contact and site information your company enters about its own customers. Your company is the controller of this data; we process it on your company's behalf.
- Location data — GPS coordinates captured at the time a field record is submitted, used to document where work was performed. Location is captured per-submission, not tracked continuously.
- Technical data — log and device information generated automatically when you use the Service.
How we use it
- To provide the Service: storing records, generating reports and PDFs, and sending report emails to your company and, where you provide their address, your customers.
- To operate, secure, and improve the Service.
- To communicate with you about your account.
We do not sell personal information. We do not use your company's operational or customer records for advertising.
Service providers
We use trusted infrastructure providers to deliver the Service, including cloud database and storage hosting, website hosting, and transactional email delivery. These providers process data only as needed to provide their services to us.
Retention
Safety and compliance records are retained for as long as your company maintains an account, reflecting the long retention expectations of safety documentation in the propane industry. Your company may request deletion of its account and associated data by contacting us.
Your choices
Account holders can access and update their information within the Service. Customers of a propane company using PropaneIQ should direct privacy requests to that company, which controls its own customer records. For anything else, contact hello@propaneiq.app.

The agreement
By creating an account or using the Service, you agree to these terms on behalf of yourself and, where applicable, the company you represent.
Your account
- You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account.
- Accounts are for use by your company's personnel. Each user should have their own login.
- You must provide accurate information and keep it current.
Your data
Your company owns the records it creates in the Service. We claim no ownership of your operational or customer data. You grant us the limited rights needed to host, process, back up, and display that data in order to provide the Service.
Acceptable use
- Use the Service only for lawful business purposes.
- Do not attempt to access another company's data, probe or circumvent security controls, or interfere with the Service's operation.
- Do not enter data you do not have the right to store.
Subscriptions and trials
Paid plans are billed as described at signup. Trials convert to paid plans only when you choose to subscribe. You may cancel at any time; access continues through the end of the paid period.
Important disclaimers
PropaneIQ is documentation software, not a compliance guarantee. The Service helps your company create, organize, and retain safety records. Responsibility for performing work correctly, meeting NFPA 58 and all applicable federal, state, and local requirements, and employing qualified personnel remains entirely with your company. PropaneIQ does not provide legal, regulatory, or engineering advice.
The Service is provided "as is." To the maximum extent permitted by law, we disclaim implied warranties and limit our aggregate liability to the amounts you paid for the Service in the twelve months preceding a claim. We are not liable for indirect, incidental, or consequential damages.
Termination
You may stop using the Service at any time. We may suspend or terminate accounts that violate these terms. Upon termination, we will make your company's data available for export for a reasonable period on request.
Changes
We may update these terms as the Service evolves. Material changes will be communicated to account owners. Continued use after changes take effect constitutes acceptance.
TrustSecurity
Safety records are legal documents. We treat them that way.
- Company isolation — every record is scoped to your company at the database level with row-level security. One company's users cannot read or modify another company's data, enforced by the database itself, not just the application.
- Encryption — data is encrypted in transit (TLS) and at rest on our infrastructure providers.
- Role-based access — field roles (technicians, drivers) use the field app only; office data and administrative functions are restricted to office roles your company designates.
- Private file storage — photographs and signatures are stored in private storage and served through expiring signed links, not public URLs.
- Locked compliance records — system leak checks cannot be deleted through the application by any user, preserving the integrity of compliance history.
- Authenticated access only — anonymous database access is disabled. Account provisioning runs through controlled server-side functions.
- Credential hygiene — service credentials are stored in managed secrets, not in application code, and are rotated when appropriate.

ComplianceNFPA 58 Compliance
PropaneIQ's forms and records are built around the documentation expectations of NFPA 58, the Liquefied Petroleum Gas Code, and the realities of how that documentation is examined after an incident.
How PropaneIQ records map to the code
- System leak checks (§8.3.7) — recorded as standalone, locked compliance records with test type, starting and ending pressures, hold time, technician identity, GPS coordinates, and customer signature, each with a generated PDF report.
- Installation documentation — new tank sets capture clearance distances, regulator details (including flow and lock-up pressures and vent protection), piping materials, photographs, and digital signatures.
- Inspection checklists — inspection items reference their specific NFPA 58 sections (regulator condition §6.11.3, relief valves §8.3.4, container condition §8.3.1, piping §6.11.1, appliance connections §8.3.8, overfill prevention §8.3.5).
- Time, place, and person — every submission is timestamped, GPS-stamped, and attributed to the technician who performed the work.
- Permanent retention — records are retained in cloud storage and cannot be silently altered after submission.
Compliance responsibility. PropaneIQ documents the work your company performs; it does not perform, verify, or certify that work. Conformance with NFPA 58 and with the federal, state, and local requirements applicable to your operations remains the responsibility of your company and its qualified personnel. Code references in the Service are provided for convenience and reflect commonly cited sections; always consult the current edition of NFPA 58 adopted in your jurisdiction.
